Tenant Placement & Screening

We market your property across all major portals, conduct viewings, and screen every applicant with credit checks via PayProp, employment and income verification, three months’ bank statements, ID verification, and previous landlord references. We do not cut corners to fill a vacancy, the right tenant is the single biggest factor in a successful lease.

Rent Collection via PayProp Trust Account

All rentals flow through PayProp, an automated trust-accounting platform. Rent is due on the 1st, and funds typically reflect in your account within 24 to 48 hours of receipt, less the management fee and any agreed expenses. You receive an itemised statement every month for full financial oversight.

Lease Management & Compliance

Legally binding lease agreements drafted in compliance with the Rental Housing Act, clearly defining rent, increases, deposits, maintenance responsibilities, and damage claims, protecting both landlord and tenant.

Inspections with Photographic Record

A detailed incoming inspection at the start of every tenancy, a full outgoing inspection when the tenant vacates, and a pre-renewal inspection before any lease extension, all documented with photos. Additional inspections on request.

Maintenance Coordination

We coordinate maintenance from start to finish, sourcing quotes from our trusted network of contractors (or yours, if you prefer). No repairs are authorised without your prior approval, except in a genuine emergency such as a burst pipe or electrical hazard.

Arrears Management

We monitor every account daily through PayProp and contact the tenant on day one of any missed payment to agree a catch-up plan. Most arrears are resolved within days. Where necessary, we escalate to the formal arrears and eviction process, but the real protection is rigorous upfront tenant selection.

Switching From Another Agency Is Easy

We handle the handover end to end: notice to your existing agent, transfer of the tenant relationship, deposit reconciliation, and the joint inspection. Most switches happen at lease anniversary or renewal, but mid-lease handovers are workable where the existing mandate allows.

How to choose a property management company in Cape Town

There is no single best agency for every landlord. There is a best agency for your property, your suburb and how involved you want to be. These are the questions worth asking before you sign anything.

  • Who is accountable, and does that person change? In larger agencies your property moves between portfolio managers as staff come and go. Ask who signs off on your file and whether that will still be true next year.
  • Are they paid on rent due or rent collected? An agency paid on rent due earns the same whether or not your tenant pays. One paid on rent collected carries part of the arrears risk with you.
  • Where does your rent actually sit? Ask whether the trust account is independently administered and how quickly funds reach you. We collect through PayProp and pay over within 24 to 48 hours.
  • What is genuinely included? Lease renewal fees, inspection charges and a markup on maintenance invoices are common and are often quoted separately. Ask for the full list in writing before you compare percentages.
  • Can they evidence their pricing in your street? A rental recommendation should be based on what has actually let nearby and how quickly, not on what you hope to achieve.
  • Do they hold a valid Fidelity Fund Certificate? Under the Property Practitioners Act no agency may trade without one, and any practitioner must produce it on request. An agency operating without a valid certificate can be required to repay everything it has received from you.

Judge on those six and the fee becomes the last question rather than the first. One month of avoidable vacancy usually costs more than a year of the difference between one agency’s percentage and another’s.

How long does it take to find a tenant?
